A bank statement PDF turning into a spreadsheet on a laptop

A statement or invoice PDF downloaded from a bank or accounting system contains real text, so PDF to Excel can read it. The result needs a little cleanup before you can sum or filter it, because amounts and dates arrive as text.

This guide gives the workflow and a checklist for it.

Key takeaways

  • Use the PDF you downloaded from the bank. A scan or a photo contains no text to read.
  • Each page is a separate sheet. Combine them before sorting.
  • Amounts with currency symbols or thousands separators stay as text until you clean them.
  • Check totals against the PDF to make sure nothing was lost.

Step 1: Use the original PDF

Download the statement or invoice as a PDF from the bank or the billing system. These files carry real text. If you only have a photo or a scan, the tool will say no text was found. In that case, read it with Image to Text, but note that it sends the file to an OCR service, which you may not want for financial documents.

Step 2: Keep only the useful pages

Remove pages with terms, adverts or summaries using Remove Pages. Every page becomes a sheet, so a trimmed PDF gives a cleaner workbook.

Step 3: Convert

Open PDF to Excel, add the file and convert. Open the workbook and compare the first sheet with the PDF. Transaction tables normally split into date, description and amount columns.

Step 4: Clean amounts and dates

Common cleanup tasks
ProblemFix in Excel
1,250.00 stays textFind and Replace the comma with nothing, then format as Number
$ or currency code in the cellFind and Replace the symbol with nothing
Negative amounts in brackets (125.00)Replace the brackets with a minus sign
Dates stay as textSelect the column, Data, Text to Columns, choose Date
Description split over two rowsJoin the rows manually

Step 5: Combine pages and check totals

  1. Copy the transaction rows from each page sheet into one sheet.
  2. Sum the amount column and compare it with the closing balance or invoice total printed on the PDF.
  3. If the totals differ, look for rows that were split or skipped on page breaks.

Moving the data on

Accounting software often imports CSV. Export the clean sheet with Excel to CSV. For the first conversion steps, see how to convert PDF to Excel, and for layout problems, PDF to Excel columns misaligned.

A note on privacy

PDF to Excel runs in your browser, so statements are not uploaded. Delete the files you no longer need from your downloads folder.
